The position handles all customer service requests in the area of general human resources; provide sound interpretation and application of HR policies by applying a broad base of human resource knowledge, judgement and initiative. This position is responsible for planning, executing, managing and finalizing projects according to defined deadlines. This includes acquiring resources and coordinating the efforts of team members and third party providers in order to deliver projects according to plan. The Administrative Specialist will also ensure project objectives are met and oversee quality control throughout the project life cycle. The Administrative Specialist will also write and document all processes as well as maintain all software documentation.
The position reports to the Associate Vice President for Human Resources but is also accountable to all HR areas.
Provides high level customer service and administrative support to the Human Resources department by:
Acting as customer service support to internal and external customers in responding to requests, telephone calls, etc.
Providing sound interpretation and application of HR policies
Processing highly confidential and sensitive information/employee records.
Composing and sending HR monthly newsletter.
Serves as the departmental liaison to Facilities Management and the Division of Information Technology
Scheduling all departmental meetings and taking accurate meeting minutes. In addition, handling all meeting details to include room reservations, meeting requests via Outlook, audiovisual requests, ordering refreshments, etc.
Maintaining inventory and organization of office supplies and is responsible for ensuring supply availability.
Receiving, date stamping and distributing departmental mail.
Ordering flowers for University bereavements.
Making photocopies, faxes documents and performs a variety of clerical functions.
Provides oversight and supervision to the student work study assistants.
Provides administrative support to the Associate Vice President:
Assists with the preparation of the annual budget
Reconciles all Procurement card expenses for department/AVP and ensures accurate allocation to departmental budget.
Processes all purchasing requisitions and check requests.
Ensures the accuracy of the budget expenditures and communicates directly with Associate Vice President.
Maintains organized filing system.
Assists with research, benchmarking and/or special projects.
Assists or prepares correspondence.
Participates in developing department goals, objectives and systems.
Assists with the preparation of quarterly and annual reports.
Manage day-to-day operational aspects of HR project implementationsto include the NovusHR project (HR applicant tracking system), Doc-E-Fill/Doc-E-Scan and other automated business processes, workflows and projects as assigned by:
Determining what changes need to be made to the customizations previously developed by HR
Working with the vendors and Administrative Information Systems (AIS) staff to update all aspects of the system to reflect current forms and processes
Assessing process workflows to determine if updates need to be made and update accordingly
Acquiring resources and coordinating the efforts of team members and third-party providers in order to deliver projects according to plan.
Ensuring project objectives are met and overseeing quality control throughout the project life cycle.
Writing and documenting all processes as well as maintaining all software documentation.
Resolving and/or escalating issues in a timely fashion
Conducting thorough training for end users on how to use the new system to complete position requisitions and new hire process in an engaging, informative and well-organized presentation.
Ensuring project documentation is tracked, completed, and kept current
Resolving and/or escalating issues in a timely fashion
Keeping leadership informed of progress and changes through written or verbal communication on ongoing project
Requirements:
An Associate's degree and 5 years of experience is required. A Bachelor's degree in Human Resources and 3 years of experience may be substituted for the Associate's degree and the 5 years of required experience.
The individual must be proficient with Microsoft office suite and must have the ability to learn new programs, i.e. Datatel colleague.
The individual must possess excellent time management skills, be detail oriented and must be able to multi task.
this position requires strong verbal and written communication skills to ensure customer service excellence.
The incumbent must be able to adapt to changes in the work environment, manage competing demands and have the ability to deal with frequent change, delays, or unexpected events.
