Receptionist

A leading private investment firm with over $8.5 billion of capital under management is currently recruiting for a Receptionist/ Junior administrative Assistant for our headquarters in Miami.   


 


 


RESPONSIBILITIES INCLUDE:


 



  • “Open and Close" the office on a daily basis (lobby lights, security access, etc.)
  • Manage high volume switchboard and direct calls to appropriate employees/departments
  • Meet and greet visitors, seat them in reception and notify of visitors arrival
  • Be alert and attentive to employee and visitor needs and whereabouts throughout the day
  • Manage appearance of lobby areas and conference rooms
  • Track and process all Facilities related requests
  • Maintain conference room calendars as necessary
  • Coordinate meal and catering for in-house events
  • Coordinate extensive travel arrangements
  • Assist staff with special projects and tasks


 



Requirements:



The individual must possess:



  • Minimum of 4 years of reception area experience



  • Clear & concise oral and written communications skills
  • Positive attitude and professional appearance is essential as this position is considered the first point of contact for visitors, callers and clients. 
  • Previous experience with general office duties, including intermediate Microsoft Office Windows skills (Microsoft Word, Excel, and Outlook) and scheduling a strong plus. 
  • Must be able to handle multiple tasks, prioritize responsibilities as well as be extremely organized.
  • Excellent interpersonal skills with the ability to interact with internal and external clients while maintaining an upbeat attitude.
  • High School diploma, a college degree preferred
